What ClinicHub does: We help clinics manage "Are you accepting new patients?" calls. When a clinic isn't accepting, we guide callers to alternatives via SMS.
What ClinicHub is NOT: We are not a healthcare provider. We don't give medical advice, access medical records, or make clinical decisions.
For emergencies: Call 911 or go to your nearest emergency room. ClinicHub cannot help with medical emergencies.
Privacy: We collect minimal data and don't access health records. See our Privacy Policy.

1. Definitions
- "ClinicHub" or "Service": The call-triage, routing, and patient-matching platform operated by Strong Ventures Inc.
- "Clinic": A healthcare practice, clinic, or organization using ClinicHub to manage intake calls.
- "Patient" or "Visitor": Any individual who calls a ClinicHub-enabled number, uses the website, or receives SMS guidance.
- "Intake Status": Whether a clinic is currently accepting new patients.
- "SMS Guidance": Text messages sent to callers providing information about clinic availability and alternatives.
- "Content": Any information, configuration, or materials provided by clinics or users.
2. Acceptance of Terms
By accessing or using ClinicHub's website, services, call-handling system, patient-matching functionality, or any related tools (collectively, the "Services"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree, you may not use the Services.
These Terms apply to clinics, healthcare organizations, patients, callers, and visitors to the ClinicHub website.
3. Description of Service
ClinicHub provides a call-triage and routing service that:
- Answers clinic phone lines with a clinic-branded greeting
- Asks callers one simple triage question ("Are you an existing patient or looking for a new family doctor?")
- Routes existing patient calls to the clinic's reception or auto-attendant
- Applies the clinic's intake rules to new-patient inquiries
- When a clinic is not accepting new patients, guides callers toward alternatives via SMS
Clinics may forward their existing number to a ClinicHub-assigned number or adopt a new number. ClinicHub does not provide medical advice, diagnosis, or treatment.
4. Terms for Patients & Visitors
4.1 Informational Nature
ClinicHub provides information about clinic intake status. This information:
- Is not medical advice
- May change at any time based on clinic decisions
- Does not guarantee you will receive an appointment or become attached to any clinic
4.2 User Responsibilities
When using ClinicHub services, you agree to:
- Provide accurate information (e.g., postal code) when requested
- Not misrepresent your identity or relationship with any clinic
- Not use the service to harass clinics or other users
- Understand that ClinicHub is not a substitute for emergency services
4.3 SMS Consent
By providing your phone number during a call or signing up for alerts, you consent to receive SMS messages from ClinicHub regarding clinic availability. Standard message and data rates may apply. Reply STOP to unsubscribe.
5. Terms for Clinics
5.1 Eligibility & Authorization
To use the Services as a clinic, you represent that you:
- Are authorized to act on behalf of the clinic or organization
- Have the right to modify phone-routing settings (call forwarding)
- Will use the Services in compliance with all applicable laws and professional obligations
5.2 Intake Status Accuracy
Clinics are solely responsible for:
- Setting and maintaining accurate intake status
- Configuring patient-type or geographic rules
- Updating status promptly when it changes
- Ensuring authorized personnel manage the account
ClinicHub applies the rules you provide but does not verify clinical, administrative, or regulatory accuracy.
5.3 Service Limits
ClinicHub:
- Does not replace your receptionist or clinical staff
- Does not make clinical triage decisions
- Does not guarantee any specific number of patient referrals
- Handles only the specific call flows you configure
5.4 Permitted Use
You may not:
- Misrepresent your clinic's intake status to gain unfair advantage
- Use ClinicHub to collect patient information beyond what's necessary for intake
- Share your account credentials with unauthorized personnel
- Use the service in any way that violates healthcare regulations
6. No Medical Advice
ClinicHub is not a healthcare provider. The Services:
- Do not provide medical advice, diagnosis, or treatment
- Do not perform clinical triage of medical conditions
- Do not direct patients to specific treatments or clinical decisions
- Do not access, store, or process medical records
Any healthcare questions must be answered by qualified clinical personnel at the appropriate clinic.

7. Privacy & Data Handling
Our Privacy Policy explains what data we collect and how we use it. Key points:
- ClinicHub is designed to operate without collecting personal health information (PHI)
- We do not access clinical records, diagnoses, or treatment information
- We collect only minimal data necessary for service operation
- Caller interactions may be logged for routing, auditing, or operational purposes
- By using SMS features, you consent to receive text messages from ClinicHub

8. Payments & Billing
8.1 Pricing
Current pricing is published on our Pricing page. Pricing communicated directly to a clinic supersedes public references.
8.2 Billing
- Subscriptions are billed monthly in advance
- All prices are in Canadian dollars (CAD) unless otherwise specified
- Applicable taxes (HST/GST) will be added
8.3 Cancellation & Refunds
- Clinics may cancel their subscription at any time via the dashboard or Contact Us form
- Service continues until the end of the current billing period
- Refunds are not provided for partial months
8.4 Non-Payment
Failure to pay may result in suspension or termination of Services. We will provide reasonable notice before suspension.
9. Service Availability & Changes
- We strive for high availability but do not guarantee 100% uptime
- Scheduled maintenance may temporarily interrupt Services
- Third-party telephony providers may cause outages beyond our control
- We may update, enhance, or modify features at any time
- Material changes will be communicated via the ClinicHub website
10. Intellectual Property
10.1 Our IP
All content, systems, software, branding, interfaces, and materials associated with ClinicHub are the property of Strong Ventures Inc.
10.2 Clinic-Provided Content
Clinics retain ownership of their content (clinic name, configuration, greeting text). By using ClinicHub, clinics grant us a license to use this content solely to provide the Services.
10.3 Feedback
Any feedback, suggestions, or ideas you provide may be used by ClinicHub without obligation to you.
11. Acceptable Use
You may not:
- Scrape, crawl, or automatically extract data from ClinicHub
- Reverse engineer, decompile, or attempt to access source code
- Send spam or unsolicited communications through the platform
- Impersonate clinics, patients, or ClinicHub staff
- Attempt to disrupt, overload, or interfere with Services
- Use the service for any fraudulent or illegal purpose
- Circumvent security measures or access controls
12. Disclaimers & Limitations
12.1 As-Is Service
The Services are provided "as is" and "as available" without warranties of any kind, express or implied.
12.2 No Warranties
We do not warrant that:
- Services will be uninterrupted or error-free
- Call routing will always function as configured
- Clinics will receive any specific number of referrals
- Patients will find or be accepted by any clinic
12.3 Limitation of Liability
To the fullest extent permitted by law, ClinicHub and Strong Ventures Inc. are not liable for:
- Indirect, incidental, special, consequential, or punitive damages
- Loss of business, revenue, or profits
- Errors in call routing or service interruptions
- Actions or omissions of third-party providers
Maximum liability: Our total liability for any claims arising from your use of the Services is limited to the fees you paid to ClinicHub in the 12 months preceding the claim.
13. Indemnification
13.1 Clinics
Clinics agree to indemnify and hold harmless ClinicHub from claims arising from:
- Inaccurate intake status or configuration you provide
- Violations of healthcare regulations in your jurisdiction
- Disputes with patients regarding your services
13.2 All Users
Users agree to indemnify ClinicHub from claims arising from:
- Violation of these Terms
- Misuse of the Services
- Violation of any third-party rights
14. Termination
14.1 By Users
- Patients may stop using the service at any time
- Clinics may cancel by stopping call forwarding and/or contacting us
14.2 By ClinicHub
We may suspend or terminate access if:
- You violate these Terms
- Fees remain unpaid
- Misuse, fraud, or interference is detected
- Required by law
14.3 Effect of Termination
Upon termination, your right to use the Services ends. Data retention follows our Privacy Policy.
15. Governing Law
These Terms are governed by the laws of the Province of Ontario and applicable federal laws of Canada.
Any disputes shall be resolved in the courts of Ontario, Canada, and you consent to the jurisdiction of such courts.
16. Changes to Terms
We may update these Terms periodically. The "Effective Date" and "Last Updated" dates will reflect the current version.
Continued use of the Services after changes take effect constitutes acceptance of the updated Terms.
